Challenge
Previously, Growth Charges were administered through the non-SAP permitting system (MAX), accompanied by intricate calculations performed in Excel spreadsheets. This setup lacked financial transparency, leaving millions of dollars in Growth Charges with no direct visibility into receivables. With recent legislative changes and the introduction of new levy charges, the City recognized the need for an end-to-end solution. This prompted the search for a streamlined process to seamlessly transfer applications and applicant data from the MAX system to SAP, thereby facilitating the efficient processing of Growth Charges.
Solution
Convergent spearheaded the development of a comprehensive application tailored to streamline the tracking of pending Growth Charges in Accounts Receivables. The primary objectives were to automate the calculation of charges, eliminating the reliance on errorprone and time-consuming manual spreadsheets. In addition to these functionalities, the solution incorporated automated workflows to expedite the approval process. Furthermore, an innovative application was integrated to facilitate seamless reporting to third parties, providing detailed insights into the charges the City has received from developers. This holistic approach not only enhances efficiency but also ensures accuracy and transparency in managing Growth Charges.
Outcome
Developed a comprehensive SAP solution that seamlessly integrates all essential functionalities for the calculation, invoicing, and recording of Development Growth Charges. This transformative system eliminates manual processes and calculations, ushering in a new era of efficiency. Enhanced by automated workflows and notifications, the solution ensures swift approvals and rejections, reducing bottlenecks and enhancing overall operational agility. Moreover, it adheres to strict SOX compliance, ensuring robust internal controls, and provides a meticulous Audit Trail, ensuring transparency and meeting stringent audit requirements. This integrated approach not only optimizes processes but also upholds the highest standards of compliance and accountability.
